This notice explains how Property Shop collects and uses personal information when you contact us or use our services.

We are the data controller for the personal information described in this notice. We are registered with the Information Commissioner's Office (ICO), registration number Z2265393. What we collect

• When you contact us or use our forms: your name, email address, phone number, the property or area you are asking about, the service you need and anything you write in your message.

• If you become a client or tenant: the information needed to arrange and manage a tenancy, such as identity and right to rent checks, references, tenancy details and payment records.

Why we use it

• To reply to your enquiry and give you the information you asked for. Lawful basis: steps taken at your request before a contract, or our legitimate interest in answering enquiries.

• To provide letting and property management services. Lawful basis: performance of a contract.

• To meet our legal duties, for example deposit protection, right to rent checks, anti-money laundering checks and record keeping. Lawful basis: legal obligation.

We do not send marketing emails unless you have asked to receive them, and you can stop them at any time.

Who we share it with

• Wix, which hosts our website and stores form submissions.

• Rentman, our property management software.

• Google, which provides our email service.

• Where needed for your tenancy: tenancy deposit schemes, referencing providers, contractors, local authorities and our redress scheme, The Property Ombudsman.

We do not sell personal information. Some of these providers may process data outside the UK; where they do, they use safeguards recognised under UK data protection law.

How long we keep it

We keep personal information only for as long as the law requires or allows, for example to meet tax, anti-money laundering and tenancy record-keeping rules, and then delete it securely.

Your rights

You can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, and ask for it to be transferred. Email info@propertyshop.uk.com. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
